Assistant

Mister Smoothie is a chat assistant built into the admin panel. Ask it about your products, sites, customers and quotes in plain language, and it looks up the answer. It can also change some product prices, once you approve.

It is on for every staff role, and there’s no setting to turn it off. Open it from the sparkle icon in the top bar (Ask Mister Smoothie). The chat sits at the side, so you can keep using the page.

  • “How many quote requests came in per month this year?”
  • “Which customers have no quotes?”
  • “What does product 3421 cost at 500, and is it in stock?”
  • “What’s live on this site?”
  • “How do I send a proof to a customer?”

For a product’s prices it uses the same pricing as the storefront’s quote cart, excluding VAT and delivery.

If you ask from a record’s page, Asking about: shows that record, and “this” or “here” means it. Press the × to leave it out of your next message.

It has this user guide to hand, so ask it how things work. It should link the page it used.

Each reply lists what it looked up as small cards. Click a card to see the details. It should name the records it used so you can check them yourself. It can get things wrong, so check anything that matters before you act on it.

It sees what you can see in the panel, and nothing more. A sales rep’s questions reach only their own customers and the pool. A screen your role can’t open is closed to it too, so sales reps and accounts can’t ask it about products or sites, and catalog editors can’t ask about customers. If it says it can’t find something, the record may exist outside what you can see.

Password and security fields are never given to it. Otherwise, what it reads, including customers’ contact details, goes to the outside AI service that writes the replies (OpenAI by default).

Only two things, both of them product pricing, and both the same as the bulk actions on Catalog > Products:

Change For Limits
Adjust grid prices Products whose selling prices you set Up to 200 products at a time, from -50% to +100%
Set margin, or go back to the supplier’s default margin Products priced from supplier costs Up to 200 products at a time

It can’t edit anything else: no customers, quotes, content or settings. You also need permission to edit those products yourself, so in practice this is for catalog editors, managers and super admins. See Pricing.

Nothing changes until you say so. When it wants to make a change, a card says what would happen, such as how many products will get the margin and how many are skipped, with Approve and Reject.

  • If it asks for several changes in one reply, answer each one. They run when you have answered them all.
  • If you Reject, nothing happens.
  • If you send a new message instead of answering, the change isn’t made.

Once approved, the change is real, and it updates the sites as a bulk action would.

  • New conversation starts afresh. Conversations lists your earlier ones, and Delete removes one.
  • Your conversations are private. Not even a super admin can read them.
  • A message can be up to 4,000 characters, and one reply runs at a time. Stop ends a reply part-way.
  • If a reply never arrives, you’ll be offered the chance to send it again. If that keeps happening, tell a developer: the worker behind the chat may have stopped.

Two screens let a super admin see how it’s used, under System > Configuration > Assistant. Neither shows the conversations themselves, and both are read only.

Usage shows the tokens each reply used, which is what the AI service bills for. It is grouped by staff member with totals, and starts on this month. Use the Month filter for any of the last 12. A stopped or failed reply isn’t counted. These rows are kept for good.

Tool calls lists what it looked up or changed for each person: When, Staff, Call (hover to see the details), outcome, and how many rows came back. It never holds the data itself. Filter by Tool, Outcome or Staff.

Outcome Meaning
ok It worked
refused The request wasn’t allowed or was wrong. It was told why and usually tries again
failed The look-up broke, ending the reply

Tool calls stay for 90 days, even if the person deletes the conversation.
